There are a gazillion file formats in today’s modern world. From Word documents or .docx to PNGs and HTML, there is a lot to go around. But, having a lot of something is not always a good thing. It could and will get messy dealing with many different file formats, especially if most jobs right now are in a home-environment setting, and you don’t have the right software.

Portable Document Format, also known as pdfs, might be the solution you are looking for. First off, it is already a standard file format already used around the globe, and, secondly, software needed to view pdf is free, and most devices already have a default pdf viewer, but more on that later. Accessibility Across Devices

In this day and age, everyone uses different kinds of devices in their lives. You can have a desktop at your workplace, a laptop in the house, and a smartphone with you all the time just sitting in your pocket. For this reason, having a file format that can be viewed with whatever device you may be using can be an advantage.

For example, your boss sends you a pdf file, but you only have your mobile device with you since you’re on a jog. You don’t need to fret and convert pdf to jpg to view it on your phone since you already know that pdf documents are accessible in most, if not all, electronic devices.

Viewing Compatibility and Integrity

The second reason is in line with the first one. We already know that pdfs can be viewed across different devices. But, what about other operating systems? Not everyone will have the same operating system. You may be using Microsoft Windows at home, but your boss uses iOS because he’s an Apple Fan. Having different OS won’t be a problem if you’re using pdfs.

PDF files can be viewed regardless of the operating system you are using. Moreover, it can also be accessed with whatever software application you use. The contents of the file won’t change, and even the layout of the texts or images won’t be bothered. Multiple people can practically see the file, and no alterations will happen.

Security

The last reason, but certainly not the least, is its added security. Did you know that for a digital file or document to be admissible in a case or courtroom, it must be in a format that can’t be edited or modified without leaving traces? PDFs meet their requirements. The law even trusts the security that pdfs provide.

But it doesn’t end there. PDF files can also add more protection for you. You can add watermarks, e-signatures, and even have your document password-protected. Your work may deal with top-secret information or sensitive data that needs more shielding from the public eyes. Making it a pdf then adding a password to it ensures your document’s security.

There are many more reasons for you to convert your files to pdf. You can save data space, and the ability to integrate different types of content in a single file are just some of those reasons. But, of course, not everything is good with pdf. It also has its limitations like its editability, for example.
